IAEI MEMBERSHIP
Privacy and data requests
Membership intake notice · Effective October 4, 2026. This notice covers the website’s current enquiry forms.
Who handles your information
International Association of Embodied Intelligence (IAEI), a Canadian not-for-profit corporation in Ontario, corporation number 1824653-0, is responsible for this intake. Use the data-request form below to contact the association about this information.
What we collect and why
We collect the fields you submit, the time, a reference number, the notice version and your acknowledgement. They are used to respond to your enquiry, check basic eligibility and organize later application discussions. We do not use the form to make automated admission decisions, sell information or subscribe you to unrelated marketing. Providing optional details is not a condition of registration.
Email notifications to the association
Your submitted information and reference number are sent to [email protected] for association follow-up. This includes the contact details, applicant or request type, organizational information and any explanation you provide. Cloudflare handles delivery and Zoho Mail receives and stores the email for authorized association staff. This does not subscribe you to marketing or send an admission decision or automatic receipt to your email address. A delayed notification does not undo a saved submission.
Permission and withdrawal
Submitting is voluntary. For a membership enquiry, we ask for your agreement to process the information for that purpose. Handling a data-rights request does not require renewed consent to membership-enquiry processing. You can withdraw your expression of interest or request deletion using the form below. Withdrawal does not affect processing already lawfully carried out, and limited records may be kept when law requires. Please do not include identity documents, financial details or confidential research.
Service provider and international processing
Cloudflare provides hosting, request processing and database services. This intake database is configured with an EU jurisdiction restriction. That database setting does not mean all website processing or authorized association access occurs only in the EU; processing and access may involve Canada and other jurisdictions. Cloudflare describes its processing and transfer safeguards in its Data Processing Addendum. You may request further information before submitting.
Retention
Active intake and data-request records are removed by a daily cleanup after 90 days from submission. Provider recovery copies expire under the provider’s retention cycle, rather than instantly on deletion. If a later formal application requires a different record or retention period, we will explain that separately. No form submission currently creates a statutory member record. The 90-day automatic deletion applies to website records, not to copies already delivered to the association mailbox. Mailbox copies are reviewed and removed when no longer needed for follow-up, subject to applicable legal retention duties. Please use the data-request form to request access, correction or deletion across these records.
Security and access
The form uses HTTPS, restricted administrative access, request limits and input checks. Public visitors cannot browse submissions. The application does not store raw IP addresses in intake records or send form contents to Web Analytics. Cloudflare processes connection information to deliver and protect the service. No service can promise absolute security.
Your requests and public disclosure
You may ask to access or correct your information, withdraw interest or request deletion; other rights available under applicable law remain available. We may verify identity or authority proportionately before acting. You may contact the relevant privacy regulator if concerns remain unresolved. Names and logos are not publicly listed without separate permission. After formal admission, statutory corporate-record access and disclosure obligations may apply.
